• ZERO AI TRAINING: We never use your private grievances or video transcripts to train public AI models.
• CAUCUS ISOLATION: Private mediation caucuses are strictly isolated and never shown to the opposing party.
• NO DATA SELLING: We do not sell, rent, or trade your personal information to third parties or data brokers.

1. INTRODUCTION & SCOPE

Travis Allen, LLC dba Send A Vent ("Company," "Send A Vent," "we," "us," or "our") respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy describes how we collect, use, process, store, and protect your information when you visit sendavent.com, access app.sendavent.com, or utilize any of our dispute resolution, formal notice, and AI mediation services (collectively, the "Services").

2. INFORMATION WE COLLECT

2.1. Information You Provide to Us Directly:

  • Account & Profile Data: First name, last name, username, email address, physical mailing address, phone number, and persona role.
  • Grievance & Vent Content: Raw text descriptions, voice dictations, audio transcripts, video recordings created via K.I.M. Studio, uploaded photos/evidence, and linked external media URLs.
  • Recipient Information: Names, physical mailing addresses, email addresses, and organization/official entity names of the individuals or businesses you designate as recipients.
  • Mediation & Caucus Records: Private messages, bottom-line walk-away positions, and flexible concessions provided during private AI mediation caucuses.
  • Signatures & Authorizations: Drawn digital canvas signatures, AI-rendered cursive signatures, and timestamped authorizations.
  • Payment & Transaction Data: We collect transaction history, virtual wallet balances, and promo code redemption logs. All credit card processing is handled securely by our third-party payment processor (e.g., Stripe); we do not store full credit card numbers on our servers.

2.2. Information Collected Automatically:

  • Technical Device & Log Data: IP address, browser type, operating system, access timestamps, referral URLs, and session telemetry.
  • Cookies & Local Storage: Essential cookies and local storage tokens required to authenticate sessions and maintain application state.

3. HOW WE USE AND PROCESS YOUR INFORMATION

We use your information strictly to operate, deliver, and improve our Services, including:

  • Performing AI "Gut Check" diagnostic analysis, factual extractions, and tone reframing;
  • Generating formal letters, verifiable PDFs, Issue IDs, and QR tracking codes;
  • Delivering communications via physical USPS mail or secure digital Bridge Emails;
  • Powering the Resolution Portal (SendAVent.com/Resolve) and facilitating Fourth-Party AI Mediation;
  • Managing your virtual credit wallet and processing transactional payments;
  • Preventing fraud, spam, extortion, harassment, and platform abuse.

4. ARTIFICIAL INTELLIGENCE & ZERO-TRAINING COMMITMENT

4.1. Enterprise AI Processing: Your grievances, video transcripts, and drafts are processed using secure, enterprise-grade Large Language Model (LLM) API instances.

4.2. Zero Model Training: WE DO NOT USE YOUR PRIVATE GRIEVANCES, AUDIO TRANSCRIPTS, OR MEDIATION CAUCUS DISCLOSURES TO TRAIN, RETRAIN, OR FINE-TUNE PUBLIC ARTIFICIAL INTELLIGENCE FOUNDATION MODELS. Your data is processed solely in-memory to execute the requested translation and resolution services.

5. CONFIDENTIALITY OF PRIVATE MEDIATION CAUCUSES

During Fourth-Party AI Mediation, statements, concessions, and walk-away points shared within your Private Caucus room (Mediation_Caucuses) are strictly confidential. Enforced by server-side Row-Level Security (RLS), these private caucus records are accessible only to you and the AI mediator. They are never shared, displayed, or leaked to the opposing party. Only the synthesized, mutually balanced "Mediator's Proposal" is presented to both parties.

6. DATA SHARING & THIRD-PARTY DISCLOSURES

We do NOT sell, rent, trade, or monetize your personal data to third parties or data brokers. We share information only under the following necessary circumstances:
Google AdSense & Third-Party Advertising Cookies:
• Third-party vendors, including Google, use cookies to serve ads based on a user's prior visits to sendavent.com or other websites on the internet.
• Google's use of advertising cookies enables it and its partners to serve ads to users based on their visits to our site and/or other sites across the internet.
• Users may opt out of personalized advertising by visiting Google Ads Settings (https://www.google.com/settings/ads) or by visiting the Digital Advertising Alliance consumer choice tool at https://www.aboutads.info/choices/.

  • With Your Designated Recipient: When you explicitly authorize and dispatch a vent, we deliver the finalized executive brief, notice letter, and video message to the recipient via your chosen delivery method.
  • With Third-Party Service Providers: We share data with trusted infrastructure vendors who perform essential functions on our behalf (e.g., cloud hosting, postal print-and-mail fulfillment, email delivery, and payment processing), subject to strict confidentiality agreements.
  • Legal Compliance & Protection: We may disclose information if required by law, subpoena, court order, or when we believe in good faith that disclosure is necessary to investigate extortion, illegal threats, fraud, or imminent safety hazards.

7. DATA RETENTION & SECURITY

7.1. Security Safeguards: We implement industry-standard administrative, technical, and physical security measures, including SSL/TLS encryption in transit and encrypted data storage, to safeguard your information.

7.2. Data Retention: We retain active account data and dispatched vents for the duration necessary to provide the Services, maintain legal audit trails, and support permanent Issue ID verification. Sealed Mutual Settlement Agreements are retained as verifiable digital records for both participating parties.

8. YOUR PRIVACY RIGHTS & CHOICES

Depending on your jurisdiction (including under CCPA/CPRA and applicable state laws), you have the right to:

  • Access and obtain a copy of the personal information we hold about you;
  • Request correction of inaccurate or incomplete profile details;
  • Request deletion of your account and personal data (subject to legal retention requirements for completed bilateral contracts);
  • Opt out of non-essential communications.

9. CHILDREN'S PRIVACY (COPPA)

The Services are intended strictly for adults and are not directed to children under the age of 18. We do not knowingly collect personal information from minors.
